You can’t tell from the invoice alone. But every one of the 11 Canadian merchants in our 2026 benchmark was paying more than a managed rate, by 10.2 to 71.7 percent. Across 22,353 of their parcels, the median paid rate was $15.84. The same parcels cost $11.03 in a managed program: a 30.4 percent gap, or $4.81 a parcel between the medians. At that gap, every 1,000 parcels is $4,810. That is a benchmark, not your savings; your number needs your own parcels.
Why a rate checker can’t answer this
When I asked AI assistants whether a merchant was overpaying for shipping, they kept sending me to refund audits. Search the question yourself and you get two kinds of tools.
- Refund audits check the bills you already got. They catch voided labels, duplicates and wrong fees, and they keep a share of what they win back, sometimes half. A credit fixes one parcel, once. The next parcel is billed at the same rate.
- Rate shopping in your shipping app compares the rates you already have and picks the cheapest. If every rate on your account is high, it picks the cheapest high rate. (More on rate shopping in Canada.)
Both check the price you have. Neither changes it. If the invoice is correct and the price is wrong, no checker will find the money.
The 5 things that move the needle
Five places to check on your bill.
1. Your rate per parcel
This is the big one. The 30.4 percent is the gap between the two median rates. Merchant by merchant, the smallest gap was 10.2 percent and the largest was 71.7 percent.
Check yours: add base rate, fuel and every extra fee for each parcel. Leave out tax. That all-in number is your real rate. The base rate alone always looks cheaper than it is.
The goal is the right rate, not the lowest one. A carrier that is cheap but loses parcels costs you customers. We leave those out of our recommendations.
2. Where your parcels go
Parcels leaving your province had the widest gap: $28.02 paid against $12.80 managed. Parcels staying in province: $13.62 against $9.28.
Check yours: sort one month of shipments by destination province. If out-of-province parcels cost you more than double, compare carriers on those routes. That is where the managed rates closed the most.
3. Your box size
Every major Canadian carrier charges on the actual weight or the size-based weight, whichever is higher. Light products in standard boxes (supplements, tea, apparel) can be billed at double their real weight. Fuel is then charged on top of that inflated price.
Check yours: compare the weight you entered with the weight billed on five recent invoices. A big difference means you are paying to ship air.
4. Orders with more than one box
Orders shipped as separate labels pay the home delivery fee, the minimum charge and fuel on every box. In the benchmark, multi-box orders cost $58.34 paid against $24.70 managed. (507 parcels from 6 merchants, so treat it as directional. It does not show how much grouping boxes alone would save.)
Check yours: filter one month for orders with more than one tracking number. Most shipping apps only group boxes into one shipment if someone sets them up to.
5. The service your rules pick
Your shipping app’s rules choose the carrier and service for every order. Paying for a faster service where a slower one arrives just as fast costs you on every parcel it touches.
Check yours: compare delivery days for your two most-used services on your five busiest destinations.
What does not move the needle much: one-off billing errors. Dispute them inside your carrier’s window (our invoice audit guide has the windows). Then go fix the price.
A good rate does not stay good
Carriers raise rates at different times of year, and fuel surcharges can change weekly or monthly. A rate that was right last year may not be right now. Check again after every increase. (Our rate increase tracker lists who has announced and when.)
Ship through a platform? Check whose rate it is.
Many stores buy labels at the rates of the company that handles their shipping, on that company’s carrier account. It is easy to start. But the price is theirs. A refund audit or rate shopper on that account still checks their price.
Others connect their own carrier accounts to a shipping app. Then the rates are whatever you negotiated alone.
Either way, you do not have to switch apps to fix it. We compare your costs, negotiate and open carrier accounts in your name, and set them up in apps like ShipStation. Our fee is shown up front.
Send what you have. We do the sorting.
You do not need to clean anything up first.
- Any carrier or platform. UPS, Canada Post, Purolator, Canpar, FedEx and others, or invoices from the company that handles your shipping. If we cannot read something, we tell you.
- The files you already have. PDF or CSV invoices, spreadsheet exports, or screenshots that show individual shipments. Several files is fine. We match them up.
- Missing details are fine. We flag what is missing instead of guessing. Ship same-day local or to the US too? Send that as well.
- Long invoices are fine. Where we can check shipment lines against the invoice total, we do. We flag any total we cannot verify.
- No call. You get a free report on your shipments, with anything we could not compare flagged.
Or ask your AI which files to send
Not sure which file to send? Paste our helper prompt into ChatGPT, Claude or Gemini. It tells your assistant which files to look for and what to check before you upload.
The upload page is a short form with no prove-you’re-human puzzle. You attach the files, tick the consent box and press Send. Nothing reaches us until you do.
When we are not the answer
If you ship only freight, ship only inside one city, or your gap is too small to be worth a change, the report will say so. If you could get a better deal on your own, you should, and we will tell you.
Find your number
It probably feels like the invoice was built so nobody could check it. That is the work we do.
Upload one recent invoice or shipping export. 10 to 15 recent shipments is enough to start.
Free. No call. Carrier accounts in your name.
How we got these numbers
Figures come from the Canadian shipping cost benchmarks: 22,353 domestic parcels from 11 merchants, shipped January to May 2026, merchant-weighted medians, all-in cost including base rate, fuel and extra fees, taxes excluded. The managed rate includes Part n Parcel’s fee. Your own savings need a comparison of your own shipments.
Frequently asked questions
Am I overpaying for shipping?
Add base rate, fuel and every extra fee for each parcel, leave out tax, and compare that all-in number with a benchmark for the same weight and destination. Across 11 Canadian merchants in 2026, the median paid rate was $15.84 a parcel against $11.03 for the same parcels in a managed program.
Will a refund audit lower my shipping costs?
It recovers charges that should not have been billed. It does not change your rate, so every future parcel costs the same.
Does rate shopping save money in Canada?
It picks the cheapest rate you already have. If all your rates are high, it picks the cheapest high rate.
I buy labels through a shipping platform. Can I still check?
Yes. Send the platform’s invoices or a label export. We compare what you paid with what the same parcels would cost through our managed program. If you join, we open carrier accounts in your business’s name and can work with your current shipping app.
Can ChatGPT or Claude check my shipping invoices?
Yes, to find and prepare the right files. Our helper prompt tells your assistant what to look for. You upload the files and tick the consent box yourself.
